Terms of service

The rules for using Vasker: bookkeeping and Gift Aid software for UK volunteer treasurers.

1. Who we are

Vasker is operated by Tweed Tyne Technologies Ltd, a private limited company registered in Scotland (company number SC874131). Contact: support@vasker.co.uk.

2. The service

Vasker helps clubs, charities, PTAs, Scout groups, CASCs and similar organisations keep a cash book, manage members and subscriptions, prepare Gift Aid and GASDS claims, and produce year-end and handover packs. Features depend on your plan (Free, Standard or Plus) as described on the site when you sign up or change plan.

Vasker is software and general treasurer guidance. It is not legal, tax, accounting or regulated financial advice. You remain responsible for your organisation’s compliance with HMRC, Charity Commission and other regulator rules.

3. Accounts and organisations

You must provide accurate details when you create an account and an organisation. You are responsible for keeping login credentials secure, for the actions of people you invite, and for assigning roles that match who should see your books.

You must be authorised by your organisation to enter its records into Vasker. If you are handing over to a new treasurer, use the in-product export tools and update roles before you leave.

4. Acceptable use

You must not:

use Vasker unlawfully or to store data you have no right to hold;
attempt to access another organisation’s records or disrupt the service;
reverse engineer or scrape the service beyond ordinary use;
upload malware or misuse bot-protection checks;
submit Gift Aid or other claims you know are inaccurate.

We may suspend or terminate access where we reasonably believe these terms are breached or the service is at risk.

5. Plans, payment and cancellation

Paid plans are charged as described at purchase (currently yearly Standard and Plus pricing on the public site). Free plan limits apply as published. Prices may change for renewals; we will give reasonable notice where practicable.

If a paid plan ends, you keep read access for a grace period so you can export a handover pack and key reports. After that, inactive accounts may be archived and later deleted. Export before you leave. Earlier deletion is available on request to support@vasker.co.uk.

6. Your content

You (or your organisation) retain ownership of the data you enter: cash-book entries, member and donor details, Gift Aid declarations, receipts and similar records (“Organisation Data”). You grant us a limited licence to host, process, back up and display that data solely to provide and support Vasker.

How we process personal data is set out in our Privacy policy and, where we act as your processor, Data processing addendum. Production workloads are hosted in the EEA on Railway (a US-incorporated provider with EU-region hosting), with Cloudflare Turnstile for bot protection on public forms, Cloudflare Email Routing/Workers for inbound support mail where configured, IDrive e2 (London, eu-west-3) for encrypted offsite backups, Google Analytics 4 for website usage measurement, and the Meta Pixel for visit and advertising measurement — see Security and compliance and the Privacy policy.

7. Gift Aid and HMRC

HMRC recognition for live Charities Online submission is in progress. Until it clears, you can prepare claims inside Vasker but live gateway submission stays off. You remain responsible for the accuracy of any claim you later submit.

8. Availability and changes

We aim for reliable service but do not guarantee uninterrupted access. We may update features, fix defects and perform maintenance. Material changes to these terms will be posted on this page with an updated date; continued use after the effective date constitutes acceptance unless applicable law requires otherwise.

9. Liability

Vasker is provided with reasonable care and skill. Nothing in these terms excludes liability for death or personal injury caused by negligence, fraud, or any liability that cannot be limited under Scots or UK law.

Subject to that, we are not liable for indirect or consequential loss, lost profits, or loss arising from decisions you make based on reports or estimates (including Gift Aid gap estimates). Our total liability arising out of or in connection with the service in any twelve-month period is limited to the fees you paid us for Vasker in that period (or £50 if you are on the Free plan).

10. Governing law

These terms are governed by the law of Scotland. The courts of Scotland have non-exclusive jurisdiction, without prejudice to any mandatory consumer protections that apply where you live.
