Choosing bookkeeping software is daunting when you volunteer a few hours a month and your day job uses something completely different. The right tool saves time, improves Gift Aid, and makes handovers painless.
Start with your needs
List must-haves: number of bank accounts, members or donors, events per year, Gift Aid complexity, multi-user access, and whether you need examiner-ready reports. A village PTA has different needs from a multi-team rugby club.
Essential features
- Bank reconciliation that volunteers can follow.
- Clear income categories (donations versus trading).
- Member or donor records with declaration tracking.
- Gift Aid reports aligned to HMRC claims, including Gift Aid Small Donations Scheme (GASDS) tracking if you collect small cash gifts without named declarations.
- Exports for examiners and AGMs.
- Affordable pricing for small organisations.
Some generic accounting tools lack declaration links or GASDS tracking. Ask whether the software produces claim-ready totals or merely exports spreadsheets you still fix by hand. Test a trial against our claim checklist.
Ease of use beats feature lists
Volunteers churn. If only accountants can navigate the screens, you will be back to one heroic treasurer and a fragile spreadsheet. Involve a non-finance trustee in the trial. Watch onboarding videos. Prefer tools aimed at clubs, not corporate ERP.
Choose software the next treasurer can learn in an evening. Your successor may have less finance experience than you. Simplicity is a feature.
Security and pricing
Donor addresses are personal data. Check UK hosting or adequate safeguards, access controls, backups, and ICO expectations. Read Vasker's security and compliance page as an example of what to look for.
Compare a monthly subscription against volunteer hours saved. Free tools may lack support or Gift Aid depth. Enterprise charity systems may charge more than your entire fundraising budget. Be honest about total cost including bank feeds or extra users.
Open banking feeds save time but check fees and which UK banks are supported. Manual CSV import may be fine for a club with ten transactions a month.
Include subscription, bank-feed fees, training time, migration effort, and examiner familiarity. A free tool that costs forty volunteer hours a year is not free. A modest subscription that saves thirty hours may be excellent value. Ask vendors for references from similar-sized PTAs or sports clubs, not only large charities.
Migration and support
Ask about importing opening balances and moving off the platform if you leave. Good documentation and responsive support matter when your AGM is next week. See switching from spreadsheets.
Import one term or one season before you commit. Run parallel reports against your old spreadsheet until totals match. Only then cut over fully.
Red flags
- No Gift Aid or UK charity context.
- Cannot produce reconciliation or examiner reports.
- Unclear data ownership on cancellation.
- Requires a professional bookkeeper to operate.
- No two-factor authentication or role-based access.

- Can a non-accountant reconcile the bank in under thirty minutes a month?
- How are Gift Aid declarations linked to payments?
- What exports does an independent examiner typically need?
- What happens to our data if we cancel?
- Is support UK-timezone and understandable to volunteers?
Decision process
- Shortlist two or three tools against your must-have list.
- Run a thirty-day trial with real (anonymised) data.
